Navigating the Retreat: A Guide to Dining, Logistics, and Maximizing Your Experience

Aloha everyone! This one is long, buckle up!!

As we gear up for another incredible year at the legendary Kahala Hotel & Resort, we want to make sure you have all the "insider info" needed for a stress-free week. Our goal is to create an environment where the only thing you have to worry about is which song you're going to practice next.

Because we are operating in a higher end resort, there are some unique logistics to keep in mind. We’ve put together this guide to help you navigate the dining scene, manage dietary needs, and understand the "why" behind our venue and pricing. Please take a few minutes to read through—it will help you plan your week (and your budget) like a pro!

1. The Meal Plan: Value, Quality, and Locked Menus

The retreat registration fee includes a substantial meal package. We bundle these meals to maximize value and minimize the "sticker shock" of on-property dining.

  • The Benefit of Bundling: Beyond the cost savings, having meals on-site means you don't have to worry about hunting down food in the middle of a busy program. You won't have to stress about being back on time for the next workshop or deal with unpredictable costs once you arrive. While the possibility exists that we may someday offer a retreat with no catering, this is how our current events are structured with the goal of ensuring a seamless experience for everyone.

  • The Reality of Catering Costs: I get a lot of questions about why the pricing is what it is. Catering is a big part of it. Catering at high-quality venues is a massive undertaking. To provide some perspective: a single gallon of juice at a resort like this typically costs $90—and that is before the 25% service fee, plus three different taxes and processing fees. Real talk: when all is said and done, we are easily spending $7,000–$10,000 per meal to feed our group.

  • Fixed Menus: Your menus are finalized and published well before the retreat begins. Please review these menus once they are released so you understand what we have planned.

  • Dietary Restrictions Form: We go to great lengths to make sure something is available for every food allergy at every meal. If you require alternate meals prepared separately from the buffet foods, we will ask you to fill out a specific Dietary Request Form. Please complete this form in its entirety rather than sending us pieces of information via separate emails or texts. Having all requirements in one central document is the only way we can ensure the catering department executes your needs accurately.

  • Medical Necessity: Alternate meals are an additional cost that we absorb to accommodate those with medical needs, but we ask that participants use this option only if truly necessary.

  • The "Hawaii Premium": For meals not included in the retreat, be prepared for "resort prices." To help you plan your budget, you can view the current on-site restaurant offerings HERE. The sundry shop, open until 5pm, also offers “grab and go” options like pastries and prepared sandwiches. T(he Dean and Deluca raspberry dessert at the sundry shop is to die for, and is even gluten free!)

2. Mastering Dietary Needs: The "Success Protocol"

We work tirelessly with the Kahala's culinary team to ensure safe, compliant options. However, successful execution requires your active participation.

  • Allergies vs. Preferences: Our absolute highest priority is ensuring safe substitutes for those with medical allergies. We ask that you only request substitutions for actual dietary requirements rather than general preferences.

  • A Note on Gluten-Free: We frequently have participants state they are Gluten-Free on their forms, only to see them eating rolls or pasta from the general buffet. Accommodating GF requirements involves additional expense and logistical effort. Please only mark yourself as Gluten-Free if you truly require those meals.

  • Vegan vs. Vegetarian Expectations: When a resort kitchen defines "Vegan," they focus on a high-quality, whole-food, plant-based experience (e.g., vegetable stacks, whole grains, and fresh fruit). If your normal diet consists primarily of meat substitutes or pasta, please be prepared to eat vegetables.

  • The Check-In Protocol: To ensure you receive your specifically prepared meal, you must be proactive. If you have an arranged alternate meal, please check in with Marion at the buffet entrance at the very beginning of the meal period so we don’t have to hunt for you.

  • Navigating Language Barriers: If you experience any confusion or a meal mix-up, politely ask your server for the Banquet Captain. The Captain is your dedicated advocate and will interface directly with the chefs to resolve the issue.

3. Strategic Self-Sourcing & The "Delivery Hack"

If you need a specific snack or a non-program meal, here is how to navigate the area like a pro:

  • Kahala Mall (5-minute drive): The mall has most food options you can think of, including GF/Vegan snacks at Whole Foods.

  • The Delivery Pro-Tip (DoorDash/Uber Eats/Instacart): You are welcome to order delivery, but follow these tips to avoid a headache:

    1. Order 15–30 minutes BEFORE the break starts. 2. Set the delivery point to the "Front Lobby Entrance/Driveway." Security does not allow delivery drivers to enter meeting spaces or guest room floors.

    2. Be at the driveway waiting. This ensures you get your food hot and the driver can move on quickly.

  • This just a personal tip - Aloha Mamacita (available on DoorDash) has the best birria tacos I have ever had in my life!!

4. Why the Venue Matters: The Value of Your Time

We’ve heard the feedback that the retreat is an investment, and we don’t take that lightly! Commuting is only available for those who live on the island (verified by a State of Hawaii driver’s license). For those flying in, staying off-site is logistically challenging. We choose venues like the Kahala very intentionally because cheaper hotels often come with hidden costs.

  • The Schedule: Our agenda is packed. Being able to walk to your room during a break to recharge or drop off your instrument is a luxury that "commuters" don't have. If you stay off-site, you are essentially "homeless" for 12 hours a day, which leads to exhaustion.

  • The True Cost of So-Called Savings: By the time you pay for an off-site room, taxes and fees, a rental car and on-site parking ($40–$50/day), or multiple Ubers per day, you’re not seeing any real savings—just a lot of extra effort and stress.

  • The Bottom Line: We choose 5-star venues for a seamless experience. It allows you to focus 100% on your music rather than navigating traffic, parking garages, and logistics.
