You booked your hotel room… What is guaranteed?

We take your requests and submit them to the hotel. What happens then?

Why can a room category become unavailable after I've already booked?

It's a fair question, especially when reservations are made months in advance.

When you book through Map & Key, we submit your room category request to the hotel and work closely with them throughout the planning process. In most cases, guests receive exactly the room category they selected. Occasionally, however, a hotel may need to remove rooms from inventory due to maintenance issues, operational needs, unexpected room outages, or other circumstances beyond our control.

When that happens, the hotel may be unable to honor every room-category request, even for reservations that were made well in advance. While we cannot control the hotel's inventory decisions, we do advocate for our guests and work to ensure that any changes are handled as fairly as possible.

If a room-category change results in a lower room rate than the category originally purchased, we will adjust pricing accordingly. Our goal is always to be transparent, communicate promptly, and make sure guests receive the value they paid for.

What is not guaranteed:

  • specific room number requests

  • specific room placement requests (ie near the elevator)

  • bedding choice - aka “one bed” vs “two beds”

Why?

  • “SUBJECT TO AVAILABILITY” is the key phrase

  • Checking in at the earliest time (usually 2pm) makes it easier to honor your requests

  • As people check in, the availability for honoring your requests reduces proportionately - Remember, a note on your file that says “please put me near an elevator” does not automatically put a note on everyone else’s file saying “don’t put me near an elevator”
